Servicing air conditioning is not a token visit. A proper service covers filters, indoor and outdoor coils, fan condition, condensate drains and pumps, refrigerant charge and system pressures, electrical connections, controls, and a physical check of mountings and pipework insulation. Each of those is a common failure point, and each is far cheaper to correct during a planned visit than during an emergency in August.
A maintenance contract wraps that up into a scheduled agreement: we book the visits, we turn up, we do the work, and we keep the records. For commercial clients that also means F-Gas record keeping, documentation available for audits or insurers, and RAMS on request for site inductions. The cost of leaving it
Air conditioning is patient. It will run for years while its coils clog, its filters load up, its charge slowly drops and its condensate drain silts over — losing efficiency the whole time — and then it will fail on the hottest day of the year, which is also the day when every contractor in the county is already booked.
The financial damage arrives in three layers. First, the efficiency loss: a fouled condenser coil or an undercharged circuit means you buy more electricity for less cooling, every single month. Second, the failure itself: emergency attendance, parts and, if a compressor has been running stressed for a season, a repair bill that dwarfs several years of servicing. Third, the business interruption while it is all happening.
For commercial operators there is a compliance layer as well. Refrigerant record keeping is the responsibility of the equipment's operator. If nobody is servicing the system, nobody is keeping the records, and there is no history to hand over when it matters.

In detail
Not every system needs the same attention. Here is how we set frequency, what each visit includes, and where the differences lie between commercial and domestic servicing.
Comfort cooling in a domestic property or a lightly used office is typically serviced annually, ideally in spring before the season starts. Commercial systems working hard through trading hours are usually better on two visits a year. Continuous-duty equipment — server rooms, comms rooms, cellar cooling — and systems in dusty or greasy environments such as kitchens and workshops benefit from more frequent attention.
We set the interval from the duty and environment rather than selling a fixed package, and adjust it if the service reports show the system needs more or less.
Filters are the cheapest and most neglected part of the system. A loaded filter starves the coil of airflow, which cuts capacity, raises running costs and can cause the coil to ice. It also means dust that should have been captured is recirculating through the room. Filters are cleaned or replaced at every visit, and we will show your team how to do interim cleans between services.
The indoor evaporator coil accumulates dust and, in kitchens, grease — both insulate the coil and reduce heat transfer. The outdoor condenser coil collects leaves, seeds, dust and vegetation, and if it cannot reject heat, head pressures climb and efficiency falls sharply. Coil cleaning is one of the highest-value tasks in a service visit and one of the most commonly skipped by cheap providers.
Drain pans, drain lines and condensate pumps are checked, cleared and flow-tested. In practice this task alone prevents a large share of the water damage claims associated with air conditioning — a silted drain in a ceiling void is invisible until it is running down a wall.
Operating pressures and temperatures are recorded and compared to expected values for the conditions, which reveals undercharge, overcharge or restriction long before the system stops cooling. Leak checking is carried out as required by the equipment and the regulations, and all refrigerant handling is F-Gas certified and recorded.
Terminals and connections are checked and tightened, contactors and capacitors inspected, fan motors and bearings assessed for noise and play, and mountings, brackets and pipework insulation examined. Components starting to fail generally announce themselves at this stage, which is when replacing them is planned work rather than an emergency.
We review setpoints, timers and scheduling. A commercial system cooling an empty building overnight or fighting a heating system set two degrees away is burning money with no benefit. This is one of the quickest wins available on any maintenance visit and costs nothing but the time to set it correctly.
Commercial servicing carries additional documentation: refrigerant records for the operator, service reports for facilities teams and insurers, and RAMS on request. Visits are usually scheduled around trading hours, and multiple systems are covered in one visit.
Domestic servicing is simpler — an annual visit covering filters, coils, drains, charge and controls to keep the system efficient, quiet and within warranty.
