Terms and Conditions

1. These terms

These terms apply to all work carried out by Gear Bros Ltd. Accepting a quotation means accepting these terms.

2. Quotations

Quotations are free and are normally issued the same or next working day. Prices are based on the information provided and, where carried out, an on-site survey. If site conditions differ materially from those surveyed, we will inform you before proceeding and agree any variation in writing.

3. Deposits and payment

• A deposit is required on installation work before materials are ordered.
• We accept all major cards, bank transfer, and payments via Stripe and GoCardless.
• Finance options are available on request.
• Balances are due on completion unless agreed otherwise in writing.

4. Access and site conditions

You agree to provide safe and reasonable access to the property, a suitable power supply and, on commercial sites, any site induction required. RAMS can be issued on request in advance of works.

5. Warranty

Installations carry a 3-year labour warranty and 3-year parts cover. Where you upgrade the manufacturer's warranty, we match it with an equivalent extended labour warranty. Warranty cover excludes damage caused by misuse, third-party interference, or failure to maintain the system in line with manufacturer requirements.

6. Maintenance and servicing

Servicing agreements are available and set out visit frequency and scope. Regular servicing is required to keep warranty cover valid and to maintain F-Gas record keeping where applicable.

7. Emergency and breakdown attendance

Emergency and breakdown call-outs are offered with a 1–2 hour response depending on the location of the job. Response times are targets and may be affected by travel distance, weather or road conditions.

8. Regulatory compliance

Gear Bros Ltd is F-Gas certified and REFCOM registered, and carries up to £1 million public liability insurance. Refrigerant handling, recovery and record keeping are carried out in accordance with F-Gas regulations.

9. VAT

Domestic installations may currently qualify for 0% VAT (rising to 5% from April 2027) — ask us about eligibility. Eligibility is determined by the prevailing HMRC rules at the time of supply.

10. Cancellation

If you cancel after materials have been ordered, we may retain costs already incurred from your deposit. Consumer cancellation rights under applicable UK legislation are unaffected.

11. Liability

Our liability is limited to the value of the works carried out, except where liability cannot be limited by law. We are not liable for losses arising from pre-existing faults or from equipment installed by others that we have not been instructed to remedy.
